Good Afternoon CenCal,
For those of you who have committed to attend our event next month I’d like to get a sense of how long you can stay at Cal Poly. Our itinerary for the day has an end time of 4pm but I am aware of the limitation in time you have due to bus driver/bus company requirements. Does a 4pm end time work for you and your bus company? Are any of you leaving earlier than 4pm? Please let me know as soon as possible so that we can finalize our itinerary.
Also, we have been in discussion with a t-shirt designer who will be producing our shirts for the event and he needs to know the amount and sizes we need. Can you let us know what sizes your students will need by Tuesday February 15, 2011 (next week)? This will help us expedite the process.
Finally, we will be sending you information about the activities we will be facilitating for the Leadership Conference in advance and we ask that you and your staff review the descriptions and help us prepare your students. Also, to make registration at the event smoother we ask that when you arrive only one person from each program sign-in and provide us with a sign-in sheet of your student participants. We will then provide your program with the shirts you need (by letting us know what sizes you need in advance we can have your shirts ready for your program/campus when you arrive). We will also need to have a list of the staff you will have joining you so that we can create a list of “facilitators” (we ask that you assist us in facilitating some activities in the afternoon). Finally, we need to know how many vegetarian lunches we need to reserve. Please let us know by the 15th (if possible) how many vegetarian meals your program needs.
